Using Groups G: Drive vs. Box

While we don't have any current plans to retire the G: groups drive we do expect its usage to drop with the availability of Box storage. Files on Earlham's shared "G" groups drive can be migrated in a few different ways. If you plan to migrate from the shared groups drive to Box, it could also be a good opportunity to sort through what's stored and only move whats still needed.
Some thoughts that might make moving your groups files into Box easier:
- Before migrating files ensure you communicate with others who might be using them to avoid someone editing the old copy during or after the migration.
- If the files are being frequently used the department might want to consider moving just a few sections/folders at a time to avoid something not being accessible while it's being uploaded.
- You can also contact ITS and ask to have your current groups files marked as "read only" for the group to prevent unwanted edits before or after the migration.
- At least one other department has also found it helpful to leave a file behind as a note to indicate that the files are now on Box.
If you have a considerable amount of data to be migrated into Box without sorting or re-organizing, then there are some methods which ITS can use to do a bulk copy. This would have to be scheduled with ITS as preparations would have to be made before hand.
